This Privacy Policy explains how Polis Re (polisre.com) ("Polis Re", "we", "us") collects, uses, shares and protects personal information when you visit polisre.com, use our calculators, submit a form or create a personal account. If you have questions, contact us at info@polisre.com or +1 929 207 0015.
1. Information we collect
- Information you provide in forms: name, e-mail address, phone number, location (state or country), the type of insurance you are interested in and any details you choose to include in a quote request, callback request or message.
- Personal account (registration) data: e-mail address, name, phone number, password (stored in encrypted, hashed form), saved requests, calculator results and account settings.
- Calculator inputs: information you enter to receive an estimate, such as vehicle, property or coverage details. If you are not logged in and do not submit a form, these inputs are used only to display the estimate.
- Technical data: IP address, browser and device type, pages visited, referring pages, and approximate location derived from the IP address, collected through server logs, cookies and similar technologies.
Please do not send us sensitive information such as Social Security numbers, financial account numbers or medical records through the website unless we specifically ask for it through a secure channel.
2. How we use information
- to respond to your requests, prepare comparisons and arrange quotes;
- to operate your personal account and save your requests;
- to communicate with you about your request, including by phone, e-mail or messaging apps you choose;
- to maintain, secure and improve the website, including fraud and abuse prevention;
- to comply with legal obligations and enforce our terms.
3. How information is shared
- Polis Re team and CRM: form submissions are sent to the Polis Re team and stored in our customer relationship management (CRM) system so we can handle your request.
- Insurers and licensed producers: when you request a quote, we share the details needed for that request with insurers and licensed partner producers, who use them under their own privacy notices.
- Service providers: hosting, e-mail, analytics, translation and similar vendors who process data on our behalf.
- Legal reasons: when required by law, to protect rights and safety, or in connection with a business transfer.
We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising. If this changes, we will update this policy and provide any opt-out required by law.
4. Cookies and analytics
We use cookies and similar technologies that are necessary for the site to work (for example, keeping you logged in and protecting forms), to remember preferences such as language, and to measure how the site is used through analytics tools. Analytics providers may collect your IP address and device information. You can block or delete cookies in your browser settings; some features may not work without necessary cookies.
5. Google Translate
The site uses Google Translate to provide additional languages. When you select a language, page content and technical data such as your IP address may be processed by Google under its own privacy policy, available at policies.google.com/privacy. Translations are automatic and may contain errors; the English version of any page prevails.
6. Data retention and security
We keep personal information for as long as needed to handle your request, maintain your account, meet legal and accounting obligations and resolve disputes, and then delete or anonymize it. We use reasonable administrative, technical and physical safeguards, but no method of transmission or storage is completely secure.
7. Your rights
Depending on where you live, you may have the following rights.
